How to print and place your table and to-go QR codes

Every table gets its own code, and the counter or door gets a To go code. This guide shows how to add them in the dashboard, print them with your logo and place them so guests find them.

From the first code to a test scan

Do these in order the first time. Later you only repeat the steps you need, for example when you add a table.

  1. Open the QR codes tab of your location

In the dashboard open Locations, choose your location and open the "QR codes" tab. The "To go / counter code" is at the top and the "Table codes" list is below it.

  2. Add numbered codes in bulk

Select "Add codes" and type a range such as 1-20 in "Label or range". You get one code for each number. A number such as 12 prints as Table 12 on an English card, and a label that already exists is skipped.

  3. Add named codes or a code with no label

Type labels separated by commas, for example Terrace 4, Bar, to add a named code for each. Leave the field empty to add a single code with no label: its orders arrive as To go.

  4. Print the sheet or download a PNG

Choose "Print all", or tick some rows and choose "Print selected". Pick "6 per A4" or "1 per A6" under "Format", then print. To get one code as an image, choose "Download PNG".

  5. Print the To go card

On the "To go / counter code" card choose "Print" for one large A4 card, or "Download PNG". Guests who scan it order without a table and the order is marked To go.

  6. Check your logo on the cards

The cards show your logo, or the venue name when you have not added one. Add the logo first, as described in add your logo and photos, then print.

  7. Place one code per table and one at the door

Put each code on the table it belongs to, and put the To go card at the counter or the door. Keep the QR code flat, clean and well lit, as explained below.

  8. Test every code with two phones

Scan each code with two different phones, place a test order and look at the label on it in the orders board. Fix anything that does not scan before you open.

Before you start

A QR code in QckOrder is a row in your list of table codes. Each code is unique, so two cards never share one code, and a label can be used only once at a location.

Have these ready, so printing is one sitting:

  • Your menu is active for the location, so guests see it when they scan. See build your menu.
  • Your logo is uploaded, if you want it on the cards.
  • A list of your tables, spots and counters, with the names you want staff to see on orders.
  • A printer for A4 paper, or a print shop that accepts a PNG file.

Where and how to place the codes

A code only works when a guest can scan it without effort. These rules come from how phone cameras behave, not from a study, so check them with your own phones.

  • One code per table, and one extra at the door or the counter for the To go card.
  • Print at the size of the format you chose. Do not shrink a card, because a small QR code is harder to scan.
  • Use matte paper or a matte cover. Glossy lamination reflects light and can block a scan.
  • Place codes flat on the table or on a small stand, or on the wall at eye level. Avoid the table edge, where cups and bags hide them.
  • Keep the code in good light and away from candles, glare and dark corners.
  • Laminate or use a wipe-clean cover so the card survives spills and cleaning.
  • Test-scan every code with two phones, one iPhone and one Android if you can.

Codes printed earlier, renaming and deleting

Codes you printed before the unique codes arrived (with a table number, or the plain location link) keep working, so you do not have to reprint them at once.

You can rename a code from "Edit" in the list, or clear its label. The printed code stays the same, so the card keeps working. Cards printed before unique codes linked the old label, so print those again after a rename.

When you delete a code, its printed card stops working and guests who scan it order as To go. Past orders keep the label they had, so your order history does not change.

Common mistakes

These are the problems that show up most often when a venue prints codes for the first time.

  • Printing a code without a label, then wondering why its orders say To go. A code with no label is for the counter, not for a table.
  • Printing the sheet before adding the logo, then having to print it again.
  • Giving two tables the same label. The dashboard refuses a label that exists, so use Terrace 4 and Terrace 5.
  • Deleting a code that is still on a table. Guests then order as To go and staff lose the table name.
  • Skipping the test scan. Check every code, because a crease or a reflection can stop it.

Questions about QR codes

How many QR codes do I need?

Each QR code you create is unique and can carry a label such as "12" or "Terrace 4". The label shows on every order from that code. The location's own code, "To go / counter", has no label and marks orders as to go. Download each code as a PNG, or print one sheet with all of them.

Do the codes I printed before still work?

Yes. Cards printed with a table number or with the plain location link keep working. If you rename a code, the printed card stays valid, but cards printed before unique codes linked the old label, so print those again.

What does To go mean on an order?

An order is To go when it comes from the To go / counter code or from a code with no label. The order shows a To go chip in the orders board and history, and you can filter the board by it.

What happens to past orders if I rename or delete a code?

Nothing. An order keeps the label the code had when the guest ordered, so your history and numbers stay as they were. Only new scans of a deleted code arrive as To go.

Can I print the codes on my own printer?

Yes. Print the sheet from the browser on any A4 printer, or download the PNG files and send them to a print shop. Choose a matte finish and test-scan a printed card before you print the rest.
