Guide

How to set up your venue in the QckOrder panel

The QckOrder team creates your account at onboarding. This guide covers what you do next in the panel, in order, until a test order has gone through.

14 days free, no credit card. Tell us about your venue in a short form and the team gets you set up.

Ten steps from sign-in to a test order

Before you start, have your sign-in details, your logo file (JPG, PNG or WebP, up to 5 MB) and the languages you want for the menu.

  1. Send the trial form

Tell the team about your venue in the trial form. The QckOrder team creates your account, your plan and a first menu, because there is no self-serve sign-up. You then receive your sign-in details for the panel.

  2. Sign in to the panel

Open the panel in a web browser, enter your email and password and press "Sign in". The panel is in English and Polish: choose the language under "Profile", in "Interface language", and change your password there with "Update password".

  3. Check the venue details

Open "Venue" in the menu and press "Edit". Check the name, the optional description (up to 300 characters per language, shown under the venue name in the guest menu) and the "Currency".

  4. Add your logo

In the "Logo" section drop a JPG, PNG or WebP file up to 5 MB. A square image works best. It uploads at once and shows in the guest menu; "Remove" takes it off again. More in add your logo and photos.

  5. Set languages and time zone

Under "Languages" tick the menu languages, up to the limit of your plan, and choose the "Default language". Pick your "Time zone" so statistics and the monthly statement follow your local day, then press "Save changes".

  6. Add your first location

Open "Locations", press "Add location" and fill in "Name" and "Address"; "Phone" is optional. A location is where guests order and it has its own QR codes. If the team already added one, open it and check the details.

  7. Choose the active menu

Guests see the menu you set as the "Active menu" of the location. Pick it in the location form, or open the location and press "Change menu". Until you assign one, guests see an empty menu. First build your menu.

  8. Add your team

Open "Team" and press "Add team member". Enter name, email and a password of at least 8 characters, then choose the "Role". Staff are tied to one location. Each person counts toward the user limit of your plan.

  9. Place a test order

Open your location, go to "QR codes" and press "Open guest menu" under "To go / counter code". Order something, then open "Orders" and press "Accept" to move it along. Press "Cancel order" afterwards, as only completed orders count toward the fee.

  10. Choose light or dark

Pick "Theme" on the sign-in page or in the account menu, and under "More" on a phone: "System", "Light" or "Dark". It applies at once and is remembered in that browser only. Printed QR cards are always light.

Who can do what

The Owner role is for the person who runs the venue. An Owner adds people with the role Manager or Staff; Owner accounts are created by the QckOrder team. A fourth role, Admin, belongs to the QckOrder team.

The three roles you give to people in your venue and what each can do
RoleWhat they can do in the panel
OwnerEverything for the venue: venue details, menus, items, locations, QR codes, orders and the team.
ManagerWorks with orders and QR codes, pauses ordering and marks items sold out. Can view menus, items and locations but not change them, and cannot manage the team.
StaffHandles orders at one location. Sees only "Orders" and "Profile".

The plan limits that apply

Each plan limits locations, user accounts and menu languages. The panel stops you when you reach a limit and says to ask the QckOrder team for a bigger plan. Your usage is under "Usage" on the "Plan & usage" page. See all plans.

Common mistakes

Most setup problems come from one of these five. Check them before you open to guests.

  • Adding a Staff account without a location. Staff work at one location, so the form asks you to choose it.
  • Printing codes before the location has an active menu. Guests who scan them see an empty menu.
  • Turning on a language before translating the menu. Where a translation is missing, the default language is used.
  • Leaving the test order open. Cancel it, because only completed orders count toward the fee.
  • Sharing one login. Give each person an account, and switch one off with "Can sign in" without touching the others.
