How to build your menu in the QckOrder panel

Create your items once, then group them in a menu with categories and show that menu to guests at a location. Every step below names the screen and button as the panel shows them.

Ten steps from the first item to a live menu

Before you start, sign in as an Owner: Managers can view menus and items and mark items sold out, but only owners can change them.

  1. Add an item

Open "Items" and press "Add item". Enter the "Name" in each language tab and the "Price" as a number such as 12.50. Every language you turned on needs a name before the item saves.

  2. Describe it and add a photo

Add a "Description" of up to 300 characters per language if you want one. Under "Photo" drop a JPG, PNG or WebP image up to 5 MB. Both are optional. More in add your logo and photos.

  3. Declare allergens and diet

Under "Allergens and diet" choose "Not declared", "Contains none of the 14" or "Contains these allergens" and tick them. Under "Diet" tick "Vegetarian", "Vegan", "Gluten-free" or "Spicy". See allergens on the menu.

  4. Save the item

Press "Create item", or "Save item" when you edit one. A new item and its photo save with one press. Repeat from step 1 for every dish and drink, with each size as its own item.

  5. Create the menu

Open "Menus", press "Create menu" and enter the "Menu name". Use the "Menu status" switch to mark it "Draft" while you work and "Active" when it is ready. The status is a label for your team: guests see the menu a location uses.

  6. Add categories

Press "Add category" and name it in each language, for example Starters, Mains and Drinks. Categories group the items on the guest menu, so give each one a clear name.

  7. Add items to the categories

In a category press "Add items", tick the items in the list (use "Search items" to find them) and press "Add". Missing an item? Press "Create a new item" in the same dialog. "Remove from category" takes one out again.

  8. Put the categories in order

Drag a category by its handle, or use "Move up" and "Move down" in its menu. Keyboard users press space on the handle, use the arrow keys and press space to drop. Guests see the categories in this order. Press "Save menu" when done.

  9. Show the menu at a location

Open "Locations", open the location and press "Change menu", then pick the menu. You can also choose the "Active menu" in the location form. Guests who scan a code of that location now see it.

  10. Mark sold out or retire an item

When something runs out, turn off its switch in the "Available" column of "Items": guests see "Sold out" and cannot order it. To retire an item for good, press "Delete" in its row. It leaves every menu, and past orders keep it.

Sizes and variants are separate items

Items have no options, extras or modifiers, so a guest cannot pick a size or a topping on one item. Add each size or variant as its own item and name it clearly, then put them next to each other in the same category.

  • Name each variant in full, such as a small and a large coffee, so the guest sees the difference in the list.
  • Give each variant its own price and, if you like, its own photo and allergen declaration.
  • Sell out one variant without touching the others with its own "Available" switch.

Not declared is not the same as none

"Not declared" tells the guest that you have not given allergen information for the item. "Contains none of the 14" is a statement that none of the 14 allergens are in it. Only choose it when you are sure, because guests rely on it.

Common mistakes

These five cause most of the questions we expect from new venues.

  • Building the menu but not assigning it. Guests see an empty menu until the location has an "Active menu".
  • Setting the "Menu status" to "Active" and expecting guests to see it. The location decides which menu guests see.
  • Choosing "Contains none of the 14" when you simply have not checked. Leave "Not declared" instead.
  • Forgetting a language. An item cannot be saved without a name in each language you turned on.
  • Deleting an item to hide it for a day. Turn off "Available" instead, and turn it on again later.

Questions about building a menu

Can items have options such as sizes or toppings?

No. An item has a name, description, photo, price and translations. For sizes or variants, add each one as a separate menu item.

Which languages can guests read the menu in?

Polish, English, Italian, Spanish and Japanese. You enter each item, category and menu in the languages you turn on, and guests switch language from the menu header; the buttons and labels of the guest page switch with it. Starter includes two menu languages, Growth and Pro all five.

Can I mark an item sold out without deleting it?

Yes. Turn off the Available switch on the item, in the Items list or in the menu. Managers can do this too. Guests see the item as sold out and cannot order it.

What happens to past orders if I delete an item?

Past orders keep the item. If an item has been ordered before, QckOrder archives it instead of erasing it, so old orders and their history stay complete.

Who can change the menu?

Owners can create and edit menus and items. Managers can view them and mark items sold out. Staff do not see the menu screens.

How do I show allergens to guests?

Open the item, go to Allergens and diet and choose Not declared, Contains none of the 14 or Contains these allergens. Guests see the result before they add the item to an order.
