Guide

How to run a shift from the QckOrder orders board

The orders board shows every active order in four columns. This guide walks through a whole shift: opening, accepting and moving orders, taking payment, handling a rush and closing.

A shift in ten steps

Steps one and two are the opening routine. The rest you repeat during service.

  1. Switch the sound on

Select "Enable sound" once in each browser you use for orders. A browser keeps sound off until someone taps, and the label then reads "Sound on". Each new order plays a chime while the panel is open.

  2. Pick the location and check ordering is on

Choose your location in the top bar. Check that "Accepting orders" is on. If ordering is paused, guests can browse the menu but not order: select "Resume" to open it again.

  3. Learn the four columns

New is an order nobody has seen. Accepted means the team has taken it. Preparing is being made. Ready waits for the guest or the runner. A completed order leaves the board and stays in History.

  4. Accept the order

Select "Accept" on a New card. The guest sees the new status on their order page. A toast with "Undo" appears for a moment, in case you tapped the wrong order.

  5. Move orders along

Use the card button: "Start preparing", "Mark ready", then "Complete". On a screen 1024 px wide or more you can also drag a card to any column, or press space, the arrow keys and space on a card. On smaller screens use "Move to" in the card menu.

  6. Undo, cancel and reopen

Select "Undo" in the toast to reverse a move. "Move back to" in the card menu steps an order back. "Cancel order" asks you to confirm, and you can "Reopen" a finished order from History.

  7. Mark payment on any card

Guests pay your venue, not QckOrder. When they do, select "Cash" or "Card" on the card, in any column. If you made a mistake, select "Mark unpaid".

  8. Switch view and filter the type

Use "Board", "Table" and "History" in the page header. Table is one row for each active order. Filter either view with "All", "Tables" or "To go" to see only table orders or only counter orders.

  9. Slow the rush: pause ordering or mark sold out

When the kitchen is full, switch "Accepting orders" off. To stop one dish, open Items and turn off "Available" for it: it shows as sold out in one tap, and you can "Undo" it.

  10. Close the shift

Move or cancel everything left in the four columns, mark unpaid orders paid, then pause ordering if you close. Open History to check the day: filter by status and payment, and open an order for its times.

Before you start

QckOrder shows orders only in the dashboard. New orders appear within about 15 seconds while the panel is open, with a sound and a counter. There is no printer and no kitchen display integration, so someone has to watch the board.

Check these things before the doors open:

  • The panel is open on a tablet, phone or screen the team can see, signed in to the right account.
  • The sound is on in that browser and the volume is up.
  • The right location is selected, and ordering is not paused.
  • Your table codes are printed and in place. See print and place QR codes.
  • Sold out items from yesterday are switched back to available.

Stay on top of waiting orders

Each card shows its status and how long the order has been in it, then the total time since the guest ordered. Times marked with a tilde are approximate, because the order was placed before QckOrder recorded every step.

The bell in the top bar lists what needs attention: new orders waiting, an order that has stayed New for more than 5 minutes, and a location where ordering is paused. Use it as a nudge when the board is out of sight.

Read the history of an order

Open any order with "View details". The "History" list shows each change in order, with the time, who made it (the guest, a staff member by name, or the system) and how long the order spent in the state before.

"Time in each state" adds up New, Accepted, Preparing and Ready, so you can see where the minutes went. Read more in order history and timing.

Common mistakes

These are the slips that cost a team the most time on a busy night.

  • Forgetting to switch the sound on in a new browser. The chime is per browser.
  • Leaving the panel in a background tab. A hidden tab may not refresh until you return to it.
  • Pausing ordering for a rush and forgetting to resume. Guests can browse but not order until you do.
  • Marking an order paid when the guest has not paid yet. Use "Mark unpaid" to correct it.
  • Cancelling by accident. Use "Undo" at once, or reopen the order from History.

Questions about running a shift

How does my team find out about a new order?

While the dashboard is open, new orders appear on their own within about 15 seconds, with a sound and a counter. Switch the sound on once in each browser. Guests see status changes on their order page without reloading it.

Can orders print in the kitchen or show on a kitchen display?

No. QckOrder has no printer or kitchen display integration. Your team reads and moves orders on the orders board in a web browser, on a tablet, a phone or a screen that stays open in the kitchen.

Can I undo a mistake on the board?

Yes. Select Undo in the toast right after a move, a cancel or a payment change. Later you can move the order back from its menu, or reopen a cancelled or completed order from History.

How do I stop new orders when the kitchen is full?

Switch Accepting orders off for the location. Guests can still read the menu but cannot place an order, and a banner reminds your team that ordering is paused. Select Resume when you are ready.

How do I mark an item as sold out?

Open Items, find the dish and turn off Available. Guests stop being able to order it at once, and you can undo the change. Staff can do this even when only the owner can edit the menu.

How do guests pay?

They pay the venue as they do today, by cash or card. QckOrder does not process payments. Your team marks each order as paid, by cash or card, in the dashboard.
