QR ordering for events and festivals

QR ordering for events lets guests at a festival, market or private party scan a code, order from their phone and collect with an order number. Your team works the orders from a tablet behind the counter.

What your team sees in the orders list

Place an order on the phone. This panel then shows it as your team sees it in the orders list.

This demo shows both sides at once. In QckOrder, new orders appear on your team's list by themselves within about 15 seconds, and guests see status changes on their order page without doing anything.

Where a stall at an event slows down

  • A queue that grows faster than you can serve it

Guests scan the code on the counter or on a poster along the queue and choose while they wait. At the front they only collect, so the window does not stop to read out the menu.

  • Several stands or zones, one team

Give each stand or zone its own named code, such as Main stage bar or Stand 4. Every order carries the name of the code it came from, so your team knows where it belongs.

  • You run out of something at the worst moment

Mark the item as sold out in one tap and guests see it greyed out. When the queue is too long, pause ordering and guests still see the menu with a note that ordering is paused.

  • Guests cannot tell your stand from the next one

Add your logo and photos of your dishes and drinks to the menu. Guests open a menu that looks like your stand, and the order number they show at pickup finds their order in seconds.

How QR ordering works at an event

  1. Guests scan a code

The to-go code on the counter and the posters along the queue open your menu in the phone browser. Named codes do the same for each stand or zone. Nothing to install.

  2. They order and get a number

Guests add items to the cart and send the order. Their phone shows the order number and the status, and that number is what they show at pickup.

  3. Your team works the orders

Orders appear on the orders board with a sound. Your team moves each one to ready, finds the number at pickup and marks the order paid once the guest has paid at the stand.

Where the code goes at an event

Put the code where guests wait and look. Print it large, because people scan from a distance in a crowd.

  • On the counter

The to-go code on the counter or the front of the stall. Orders from it are marked as to go.

  • On posters along the queue

Print the same code on several posters, so guests can scan it while they queue and order before they reach the front.

  • At each stand or zone

Create a named code for each, such as Main stage bar or Stand 4, and print it where that team works.

Would it cover its cost at your venue?

Enter your own numbers to see how many QR orders it takes to cover a plan and the 1% on completed orders, based on the staff time you spend taking orders.

The starting values are examples, not statistics, and they change with the venue type picked above. Replace them with yours. Enter the orders of one venue; Pro covers up to three, so compare it with their orders added together.

If guests placed those orders by QR instead of staff taking them, that is about 39 hours a month, worth $663 at your rate, against $329.80 for Growth: the plan price plus 1% of the value of those completed orders.

How this is calculated
  • QR orders per month = orders per day × days open × QR share
  • Staff hours = QR orders per month × minutes per order ÷ 60
  • Value of time = staff hours × staff cost per hour
  • QckOrder cost = plan price + QR orders per month × average order value × 1%
  • Break-even orders = plan price ÷ (minutes per order ÷ 60 × staff cost − average order value × 1%)

QR ordering at events: questions

Does QR ordering work without mobile signal at an event?

No. Guests need mobile internet to open the menu and send an order, and your team needs a connection to see orders. QckOrder has no offline mode. Check the signal where you will stand, and keep a way to take orders by hand.

Can guests pay online or in advance?

No. QckOrder has no online payment or prepayment. Guests pay your team by cash or card when they collect, and staff mark the order as paid on the orders board. Keep the payment device you already use.

Is this ticketing or entry management?

No. QckOrder takes food and drink orders for your stand. It does not sell tickets, check entry or manage the event itself.

Is there a plan for a single event?

No. Pricing is a monthly plan plus 1% of the value of completed orders placed through QckOrder, and there is no per-event plan. Cancelled orders are not counted.

Can I see how busy each hour was afterwards?

Yes. The statistics page shows orders and revenue by hour for the dates you choose, so you can see when the queue peaked and plan staff and stock for the next event.

How many QR codes do I need?

Each QR code you create is unique and can carry a label such as "12" or "Terrace 4". The label shows on every order from that code. The location's own code, "To go / counter", has no label and marks orders as to go. Download each code as a PNG, or print one sheet with all of them.
