How to read your numbers in the QckOrder dashboard

The Home page of the dashboard turns your orders into tiles and charts. This guide says exactly what each one counts and which decision it can help you make.

Six steps to read your numbers

Go through them in order the first time. Later you will jump straight to the chart you need.

  1. Choose the period

On the Home page pick Today, Yesterday, Last 7 days, Last 30 days, This month or Last month, or choose Custom range and set From and To. A custom range covers up to 366 days, with no future dates. Days start and end at midnight in your venue's time zone.

  2. Read the tiles first

The tiles give the totals for the period: Orders, Cancelled, Revenue (paid), Average order (paid) and Items sold. Check the section on what each tile counts before you compare two periods.

  3. Open the charts

Each chart answers one question, such as which hours are busiest or which items sell most. The table in the charts section pairs every chart with one decision it supports.

  4. Check how fast your team works

The service speed figures show the average time to accept, to prepare and to complete an order. They only use orders timed by QckOrder, so older history is left out.

  5. Look at Plan & usage

Plan & usage shows the value of completed orders so far this month, the fee that follows from it and the earlier months. It is information for your monthly invoice, not a payment screen.

  6. Open the Activity log for who changed what

When a figure surprises you, the Activity log lists changes to orders, menu items, tables and the team, with the person and the time. Filter it by date, area and team member.

What each tile counts

Most confusion comes from two different rules. Orders count everything that was not cancelled. Revenue counts only orders that are paid and not cancelled, so an order still waiting to be paid is in the first number but not yet in the second.

All figures follow the period and the location you chose on the Home page.

The tiles on the Home page and the rule behind each figure
TileWhat it counts
OrdersOrders in the period that were not cancelled, whatever their status or payment.
CancelledOrders in the period that were cancelled. They are left out of every other figure.
Revenue (paid)The total of orders that are paid and not cancelled. Unpaid orders are not included.
Average order (paid)Revenue divided by the number of paid, not cancelled orders. It is empty when there is no paid order.
Items soldThe quantity of every item on orders that were not cancelled, paid or not.

Each chart and one decision it supports

A chart is useful when it changes what you do next. The table pairs each chart with one decision. Use the same period for every chart you compare.

Each chart, what it shows and one decision it can support

Orders and revenue over timeOrders and revenue for each day of the period.Spot your slow days and plan offers or opening hours around them.
Orders by hour of day, by weekday and Busy timesOrders for each hour, for each weekday from Monday to Sunday, and the two together, in your time zone.Staff the busy hours and weekdays and send people home when it is quiet.
Top itemsThe items ordered most, up to ten, with the quantity sold.Keep the best sellers in stock, and review items nobody orders.
Table and to-goHow many orders and how much revenue came from tables and how much from to go.Decide how much counter space and packaging to prepare for to-go orders.
Payment methodPaid orders split by cash and card, plus the value still unpaid.Plan the float in the till and chase orders that were never marked as paid.

Service speed: accept, prepare, complete

QckOrder records the time of every step, so the statistics can average how long your team takes. The Time per order panel shows three averages, and a fourth view splits the time by state:

A long time to accept points to an unwatched screen, a long time to prepare to the kitchen, and a long time to complete to the last step between ready and served. Compare the same weekday and hour across weeks rather than reading one busy night.

  • To accept: from the moment the guest placed the order to the first move out of New, not counting a cancellation
  • To prepare: from the first time the order was accepted to the first time it was ready
  • To complete: from the guest placing the order to the order being completed
  • Average time in each state: New, Accepted, Preparing and Ready, averaged over the sampled orders

Plan & usage, and the Activity log

Plan & usage shows the value of completed orders placed through QckOrder this month, the 1% fee that follows from it, and the same figures for earlier months. A completed order counts whether or not it was marked as paid, and a cancelled order never counts. This differs from the revenue tile, which counts paid orders.

The activity log answers who changed what: it lists the person, the action and the time for changes to orders, items, availability, ordering pauses, tables, the team and the venue. Owners and managers can read it, it opens on the last 30 days, and entries are kept.

Growth

For one venue with a bigger team or guests from abroad.

The statistics are open to owners and managers on every plan. Growth gives ten user accounts, so the manager of each shift can have a login and read the same figures.

Only completed orders count; cancelled orders do not. The 1% is calculated per calendar month and invoiced monthly. QckOrder does not collect guest payments: guests pay your venue.

Questions about the numbers

Why is revenue lower than my orders suggest?

Revenue counts only orders that are paid and not cancelled. Orders that nobody marked as paid, by cash or card, are in the orders figure and in the unpaid value, but not in revenue.

Why are my service times missing for older orders?

QckOrder times each step from the release that records order history. Orders from before it have approximate times and are left out of the averages, so a new venue sees them fill up as orders come in.

Who can see the statistics and the activity log?

Owners and managers can open the statistics and the activity log. Staff accounts cannot, and neither can guests. The log opens on the last 30 days and you can widen the dates.

Is the fee the same as my revenue figure?

No. The fee is based on completed orders, whether or not they were marked as paid, while revenue counts paid orders. The two figures can differ, and Plan & usage shows the fee base.

Is there a fee on top of the plan price?

Yes. On top of the plan price, QckOrder charges 1% of the value of completed orders placed through QckOrder. Cancelled orders are not counted. It is calculated per calendar month and invoiced monthly. QckOrder does not collect guest payments: guests pay your venue.

Can I export these numbers?

Not today. The statistics and the monthly figures are read in the dashboard. There is no export to a spreadsheet, so note down the figures you need when you review a period.
