QR ordering for hotel room service, one code per room

A card in each room opens the room service menu on the guest's phone, in their language. The order reaches the kitchen labelled "Room 214", so nobody has to ask where the tray goes.

What your team sees in the orders list

Place an order on the phone. This panel then shows it as your team sees it in the orders list.

This demo shows both sides at once. In QckOrder, new orders appear on your team's list by themselves within about 15 seconds, and guests see status changes on their order page without doing anything.

Where room service slows down

  • Orders by phone get the room wrong

Each room has its own code with a label such as "Room 214". The label shows on every order from that code, so the kitchen sees where the tray goes without asking.

  • Foreign guests struggle with the in-room menu

Enter the menu in the languages your guests speak. Guests pick Polish, English, Italian, Spanish or Japanese in the menu header and read each dish, with its allergens, in their own language.

  • The kitchen closes and guests keep ordering

Pause ordering for the room service location when the kitchen closes. Guests can still read the menu but cannot send an order until you switch ordering on again. It is a manual switch, not opening hours.

  • The duty manager asks when an order came in

Every order keeps a history with the time it was placed and the time of each status change, so the duty manager can see how long a tray took.

How room service ordering works

  1. Guests scan the card in the room

A card on the desk or bedside table opens the room service menu in the phone browser. No app, no account and no room number to type.

  2. They order in their own language

Guests pick a language, add dishes, check the allergens, leave a note for the kitchen and send the order. It arrives labelled with their room.

  3. The kitchen sends it up

The order appears on the orders board with a sound. Staff accept it, move it to preparing and ready, and mark it paid after the guest pays the person who delivers it.

Where the codes go

Give every room, and every spot guests order from, its own labelled code, so each order says where to deliver.

  • Guest rooms

One code per room, labelled "Room 214". Anyone who scans it orders to that room, so keep the card in the room.

  • Pool, terrace and spa

Label codes "Pool", "Terrace" or "Spa lounge", so a drink ordered by the water reaches the right place.

  • Lobby bar

A "Lobby bar" code suits guests who order from an armchair. Staff see the label on the order and walk it over.

Would it cover its cost at your venue?

Enter your own numbers to see how many QR orders it takes to cover a plan and the 1% on completed orders, based on the staff time you spend taking orders.

The starting values are examples, not statistics, and they change with the venue type picked above. Replace them with yours. Enter the orders of one venue; Pro covers up to three, so compare it with their orders added together.

How this is calculated
  • QR orders per month = orders per day × days open × QR share
  • Staff hours = QR orders per month × minutes per order ÷ 60
  • Value of time = staff hours × staff cost per hour
  • QckOrder cost = plan price + QR orders per month × average order value × 1%
  • Break-even orders = plan price ÷ (minutes per order ÷ 60 × staff cost − average order value × 1%)

Room service QR ordering: questions

Can guests charge room service to their room?

No. There is no charge to the room and no link to a hotel property system. Guests pay the person who delivers the order, by cash or card, and staff mark the order as paid in the dashboard. QckOrder takes no online payment.

Can guests choose a delivery time?

No. There are no scheduled deliveries. An order goes to the kitchen when the guest sends it, and staff bring it up when it is ready. A tray for tomorrow's breakfast is not something QckOrder can book.

Does ordering stop when the kitchen closes?

Only when someone pauses it. Ordering is a manual switch for the room service location in the dashboard. There are no automatic opening hours, so someone turns it off at closing time and on again in the morning.

Which languages can guests read the menu in?

Polish, English, Italian, Spanish and Japanese. You enter each item, category and menu in the languages you turn on, and guests switch language from the menu header; the buttons and labels of the guest page switch with it. Starter includes two menu languages, Growth and Pro all five.

How many QR codes do I need?

Each QR code you create is unique and can carry a label such as "12" or "Terrace 4". The label shows on every order from that code. The location's own code, "To go / counter", has no label and marks orders as to go. Download each code as a PNG, or print one sheet with all of them.

Is there a fee on top of the plan price?

Yes. On top of the plan price, QckOrder charges 1% of the value of completed orders placed through QckOrder. Cancelled orders are not counted. It is calculated per calendar month and invoiced monthly. QckOrder does not collect guest payments: guests pay your venue.
