What QckOrder records on every order

Order history is the record of everything that happened to an order, from the moment the guest placed it. Each entry has a time to the second and the person behind it: the guest, a team member by name, or the system for older orders. These changes are recorded:

  • The order being placed by the guest
  • Every status change, including a move back to an earlier status and an undo
  • Cancelling an order and reopening it
  • Marking an order as paid or unpaid, and the payment method, cash or card
  • Adding, editing or removing the note on the order

The timeline on the order

Open an order from the board or from the order history and its page shows the timeline, oldest entry first. Each row says what changed in words, such as moved back to Accepted or marked as paid with card, and shows the time and the actor.

A change that was made by mistake and then undone stays in the timeline. Nothing is rewritten, so the record shows what really happened, in the order it happened.

Time spent in each state

From those entries QckOrder works out how long an order spent in New, Accepted, Preparing and Ready. If an order visits a state twice, the two visits are added together. An open order keeps counting in its current state.

The order page shows these times as a bar with the total, and for a finished order the time it took to complete. On the board, each card shows its current state with the time in it and the age of the order, so a ticket that has waited too long is easy to spot.

Averages in the statistics

The dashboard statistics average these times over a period you choose, so you can see whether service is getting faster. Three averages are shown, and the time in each state is averaged too:

  • Time to accept: from the guest placing the order to the first move out of New
  • Time to prepare: from the first time the order was accepted to the first time it was ready
  • Time to complete: from the guest placing the order to completion
  • Cancelled orders and orders from before the release are left out of the averages

What the guest sees on the status page

The guest's order status page shows the actual time of each step, such as when the order was placed and when it was accepted, instead of a guess. The page updates by itself.

Guests see times only. Staff names, payment changes and notes stay in the dashboard.

The activity log and why it matters in service

Besides the history of each order, the venue has an activity log of who changed what: orders, menu items, availability, ordering pauses, tables and the team. Owners and managers can filter it by date, area and team member.

In service terms, this settles the usual questions fast. Who cancelled that order, when was it marked ready, why does the guest say they waited, which dish was switched to sold out. You answer from the record, not from memory.

What it does not do

Know the limits of order history before you rely on it.

  • Times are recorded from the release that introduced order history. Older orders show approximate times, marked with a tilde, and are left out of the averages
  • There is no export of the history or the activity log
  • It is not a scoring tool for staff: it records who made a change and when, and ranks nobody
  • Deleting an order removes its timeline, and the activity log keeps a line saying it was deleted

Which plan for order history

Growth

For one venue with a bigger team or guests from abroad.

Order history and timing work the same on every plan. Growth gives ten user accounts, so every team member signs in under their own name and the timeline shows who did what.

+ 1% of the value of completed orders placed through QckOrder

Only completed orders count; cancelled orders do not. The 1% is calculated per calendar month and invoiced monthly. QckOrder does not collect guest payments: guests pay your venue.

Order history and timing: questions

Does QckOrder record who changed an order?

Yes. Every change on an order is recorded with its time and the person who made it: the guest when the order was placed, or the team member who signed in. Each person needs their own login for names to be useful.

Is a status that was moved back or undone recorded?

Yes. A move back, an undo, a cancellation and a reopening each get their own entry in the timeline. Nothing is replaced, so you see the real sequence, including a tap made by mistake.

Do orders from before this feature have a history?

They have a basic one: when the order was placed and when it reached its status. Those times are approximate, marked with a tilde, and left out of the averages. Exact times are recorded from the release on.

Can guests see staff names or notes?

No. The guest status page shows the actual time of each status step only. Staff names, payment changes and notes are visible in the dashboard to your team.

Can I export the history or use it to rank my staff?

No. There is no export, and QckOrder is not a performance scoring tool. It records who changed what and when, so you can answer questions and see where service slows down.
